Almost every platform does those five jobs. What separates them is how well each one fits your data, your team and the way you sell.

This guide is for the moment you are comparing platforms, or wondering whether your current one still fits. It covers the features worth paying for, how pricing really works, what to check in a CRM integration and how to run a trial that tells you something. If you are still deciding whether email belongs in your mix at all, start with our guide to what email marketing is.

What does email marketing software actually do?

It turns a list of addresses into a managed relationship. Behind the drag-and-drop editor, the platform is doing work you would never want to do by hand.

It keeps a record of permission. Who signed up, when, through which form and for what. When someone unsubscribes, it stops sending to them everywhere, straight away.

It sends at scale without looking like spam. The platform signs your email with SPF, DKIM and DMARC, handles bounces and processes complaints, so mailbox providers keep trusting you.

It reacts to behaviour. A sign-up, a purchase or a long silence can trigger the right email without anyone pressing send.

It tells you what worked. Clicks, conversions, unsubscribes and revenue, broken down by campaign, flow and segment.

The sending side is the part buyers underestimate. A well-run platform monitors its infrastructure, works with mailbox providers and helps you fix problems before they reach your results. Our guide to inbox placement explains what happens between “send” and the inbox.

Which features matter, and which are nice to have?

Most platforms tick the same boxes on a feature list. The difference shows up in how deep each feature goes. Use the table below as a demo script: the right-hand column is what to ask the vendor to show you, not tell you.

Feature

Why it matters

Ask them to show you

Contact and consent management

Your legal basis for every send, and the foundation of clean data.

Where consent source and date are stored per contact, and how a CRM opt-out reaches the email platform.

Segmentation

Relevance. They save time and are worth trying. They rarely decide whether a platform works for you, so do not let a polished AI demo distract from the rows above.

How should email software connect to your CRM?

Well enough that nobody has to export a spreadsheet. A good integration moves data in both directions, keeps consent in step and runs often enough that a salesperson sees yesterday’s email activity today.

Integrations come in three forms. Native connectors are built and maintained by the vendor and are usually the most reliable. Connector platforms and middleware link systems without a native connection, at the cost of another tool to manage. APIs give you full control, but someone has to build and maintain the connection.

Whichever route you take, test these four things before you commit:

Which fields sync, in which direction, and which system wins when both have different values.

How quickly a change in one system appears in the other.

Whether unsubscribes and consent changes sync as reliably as contact details.

Whether email clicks and opens reach the contact record in your CRM, where sales can act on them.

Spotler connects to common CRM systems through native CRM integrations.

What does email marketing software cost?

It depends on your list size, how often you send and which features you need, so treat any “typical price” you read online with caution. Plans change often, and the same headline price can hide very different limits. Understanding the pricing model tells you more than comparing numbers.

The pricing models you will come across

Contact-based tiers: the price rises with the number of contacts you store, whether or not you email them. Cleaning inactive contacts saves money.

Volume or credits: you pay for the emails you send. This suits large lists that are emailed infrequently.

Feature tiers: automation, testing, advanced reporting or integrations only become available on higher plans.

Users and add-ons: extra seats, a dedicated IP address, additional channels such as SMS, or premium support.

Most platforms combine two or more of these. Model your costs for next year as well as this year. A plan that is cheap at 5,000 contacts can become expensive at 25,000, and a missing feature can force an upgrade halfway through a contract.

The costs that are not on the pricing page

Set-up and migration time, template rebuilding, training and the hours your team spends on manual work all count. So does the cost of switching again in two years if you choose badly. A slightly more expensive platform that your team uses fully is often the cheaper option over a contract term.

Can you do email marketing for free?

Yes, within limits. Free plans typically cap contacts and monthly sends, add the provider’s branding to your emails and keep automation, integrations and support for paid tiers. They suit a small list and a simple newsletter.

Sending bulk email from a personal Gmail or Outlook mailbox is not a free alternative. Personal mailboxes have sending limits, no proper unsubscribe handling and no consent records. Mailbox providers also set standards for bulk senders: Google’s email sender guidelines, for example, require authentication and an easy unsubscribe.

For Spotler’s own plans, see our pricing page or request a quote based on your list and channels.

Is email marketing software worth it for a small business?

Usually, once email is more than an occasional newsletter. The tipping point tends to come when one of these becomes true:

You want emails to go out automatically when someone signs up, buys or goes quiet.

Your email platform needs to talk to your webshop or CRM.

Manual list work takes more of your week than a subscription would cost.

You need someone to call when a campaign goes wrong.

Small teams should weigh ease of use more heavily than large ones. A platform with fewer features that one person can run confidently beats a powerful one that needs a specialist. Look for templates your team can adapt without code, a small number of ready-made automations and support in your language and time zone.

What has changed in email platforms recently?

Three shifts affect what you should expect from any platform you choose today.

Mailbox providers raised the bar for senders. Since February 2024, Gmail and Yahoo have required bulk senders to authenticate their domain, keep complaint rates low and offer one-click unsubscribe. Microsoft followed with similar requirements for Outlook.com in 2025. Authentication is no longer an advanced setting; your platform should guide you through it. Our overviews of the Google and Yahoo requirements and Outlook’s DMARC rules cover the details. For the practical side, here is how to set up SPF, DKIM and DMARC.

Open rates became less reliable. Privacy features in some email apps load images automatically, and security scanners click links before people do. A good platform filters this noise, and you should judge campaigns on clicks and conversions. Here is how to spot bot opens and clicks.

AI arrived on both sides of the inbox. Platforms now offer AI help with copy, subject lines and timing. Mailbox providers, meanwhile, are adding AI summaries that change how your email is first seen, as we describe in our piece on Gmail’s AI overviews. Clear subject lines and a strong first paragraph matter more than ever.

How do you run a shortlist and trial?

Keep it short and practical. Three platforms is plenty.

Write down your non-negotiables. The integrations you need, where data must be stored, your sending volume and who will use the platform day to day.

Shortlist on those alone. Anything that fails a non-negotiable drops out, however good the demo.

Test with your own data. Import a real segment, rebuild one real email and set up one automation. Ask the person who will use the platform to do it, not the vendor.

Check the support. Send a real question during the trial and see how fast, and how well, it is answered.

Read the exit terms. Confirm you can export contacts, consent records, suppression lists and history if you leave.

Frequently asked questions

Can you switch email platforms without hurting deliverability?

Yes, if you plan it.
